Job Description

Prison Book Program is a 50 year old nonprofit organization based in Quincy, MA, dedicated to sending high-quality books and reading materials to incarcerated readers in 44 states across the country. With a very small paid staff (two .75 FTE positions), our work depends upon a thriving, successful volunteer program. We currently hold four volunteer sessions per week: Tuesdays 6:30-9pm, Wednesdays 1:30-4pm, Thursdays 6:30-9pm, and Saturdays 1-4pm. Each session accommodates 20-30 volunteers working on a variety of steps in our fulfillment process. PBP is seeking a 30 hr/wk Volunteer Coordinator. Hours are a mix of fixed, in-person hours, including evenings and Saturdays, and flex/remote hours. This position reports to PBP's Managing Director. Primary duties include:
 
1.      Manage the sign-up, sign-in, and group scheduling features on our volunteer platform and maintain volunteer database.
2.      Master each step in PBP's fulfillment process.
3.      Organize and run volunteer sessions.
4.      Train volunteers and team leaders on each step in PBP's fulfillment process.
5.      Monitor our book inventory and accept book donations.
6.      Form relationships with volunteer and maintain a positive atmosphere.
7.      Keep supplies stocked and storage spaces neat and organized.
8.      Think creatively about how to improve the volunteer experience.
9.      Process incoming mail and email.
10.  Process incoming financial donations and generate acknowledgement letters.
 
Required qualifications: 
 
1.      Experience successfully managing large and diverse groups of people
2.      Experience managing multiple processes at once
3.      Highly organized and systems and process oriented
4.      Experiencing managing multiple communication platforms (email, phone, social media) and providing timely and clear responses to a variety of inquiries. 
5.      Experience swiftly solving and/or resolving large and small problems so that they do not stagnate or grow larger
6.      Experience working independently, or with remote and/or light supervision  
7.      Proficiency with or ability to quickly learn how to use the technology platforms we use (Salesforce, Quickbooks, Act Blue Charities, Office Suite, all Google applications, Zoom)
8.      Friendly, outgoing personality and a commitment to creating an inclusive, welcoming, accessible volunteer environment  
9.      Ability to frequently lift and move objects weighing up to 40 pounds, walk up and down stairs, and be on your feet and moving for 3 hours 
10.  Possession of a valid driver's license
11.  Flexibility and good humor in the face of the challenges that arise from working in the basement of a 380 year old historic building.

 Preference given to those with an interest in incarcerated people and/or people affected by incarceration, and/or a deep knowledge of or experience with books.  Applications accepted on a rolling basis starting 2/1/22. Interviews will be conducted as qualified applications are received.
