Position Summary
The Senior Administrative Assistant plays a vital role in supporting the day-to-day operations of both the Philanthropy Team and the Legacy Corporation of the Southern New England Conference of the United Church of Christ. These program areas are distinct but collaborative and will involve similar tasks as well as responsibilities unique to their areas. 
 
This position is responsible for providing comprehensive administrative, programmatic, and development support—including database management, donor stewardship, committee coordination, and event logistics. This hybrid position requires 2-3 days per week in-person at either our Framingham, MA or Rocky Hill, CT office. 
 
Key Responsibilities
Administrative Support
  • Provides high-level administrative and clerical support to the Director of Philanthropy and Director for Legacy and Church Redevelopment.
  • Manages calendars, coordinates meetings and travel, and prepares agendas, mailings and related materials.
  • Maintains organized filing systems of programmatic records (digital and physical).
  • Tracks project timelines, milestones, and deadlines to ensure timely completion.
  • Documents and maintains information in SharePoint folders.
  • Provides coordination and serves as liaison to others within the Conference.
  • Directs questions and resource requests to the appropriate team member; assists in maintaining digital resource collection.  
  • Assists with coordination of external consultants and related administrative recordkeeping.  
 
Committee Support
  • Provides administrative assistance to the Legacy, Development, and Nominating Committees.
  • Schedules meetings, prepares and distributes agendas, minutes, and follow-up documentation.
  • Attend committee meetings as needed to take and transcribe minutes.
 
Donor & Database Management
  • In collaboration with the Registrar and Database Specialist, update donor databases (Salesforce, Brick River) ensuring accuracy and integrity.
  • Generate donor acknowledgment letters and follow-ups in a timely and accurate manner.
  • Create mailing and email lists; generate donor and philanthropy reports as needed.
  • Support donor stewardship and fundraising campaigns (e.g., Proportional Giving, Friends of the Conference).
  • Manages and updates the Philanthropy and Legacy sections of the website.
 
Fundraising & Event Coordination
  • Assist in planning and executing fundraising and philanthropic events.
  • Provide logistical support for events including scheduling, registration, mailings, and on-site coordination.
  • Track grant deadlines; prepare and submit applications and manage reporting requirements.
  • The Senior Administrative Assistant will be required to participate in Conference- Sponsored events throughout the year.  
 
Finance & Operations Support
  • Assist with processing invoices, tracking expenses, and preparing financial documentation.
Communications & Research
  • Conduct research on individuals, topics, or trends to support fundraising and strategic initiatives. This includes using database tools such as DonorSearch and Blackbaud products.
  • Draft, proofread, and edit correspondence, reports, and presentations.
  • Assist with marketing and event-related communications, including occasional copy editing.
 
Travel
·        Travel for in-person meetings and events will be required.

Other Duties
  • Undertake special projects and additional responsibilities as assigned.

 Qualifications
·        Minimum of high school diploma or GED equivalent required.
·        Three (3) years of clerical and/or administrative experience.
·        Strong organizational, communication, and interpersonal skills.
·        Demonstrated ability to work respectfully and effectively across diverse backgrounds, cultures, and ancestries.
·        Proficiency with Microsoft Office products (Word, Outlook, Teams); willingness to learn additional platforms. 
·        Ability to be flexible and adaptable as needed to accomplish goals.
·        Experience with Brick River and Salesforce preferred but not required.
·        Demonstrate strong integrity in protecting sensitive data and maintaining confidentiality.
·        Ability to travel regionally and maintain reliable transportation.

Mathematical Aptitude - Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.
