Job Description
In 1876, the Woman’s Friend Society was founded to inspire and encourage habits of industry and self-reliance in women. In the 21st Century, as a Charitable Corporation (1884), the Society’s mission continues with a focus of providing a transitional living environment for women who are enrolled in school and/or working. Emmerton House is maintained with monies derived from rents, donations, grants, and Society dues.
The Residence Manager, first and foremost, is focused on the resident experience, ensuring residents have what they need to be successful. This position is also responsible for the efficient operation and maintenance of Emmerton House. This position and its activities are guided by the Resident Committee and Woman’s Friend Society Board of Directors.
The position’s direct supervisor in matters of job performance, benefits, and other related matters is the President of the Woman’s Friend Society.
This is a 40 hour per week position and is considered an essential position requiring onsite presence. Flex work and limited remote options may be available after a trial period. This position may be required to work weekends or evenings from time to time and will be required to be “on call” for emergencies on a schedule. It is also important for the Residence Manager to participate in WFS events, Society meetings & fundraisers.
Essential duties include but are not limited to:
WORKING WITH RESIDENTS
- Set a positive and engaging tone for a Residential Environment.
- Coordinate and perform the in-take process of applicants from application to acceptance.
- Facilitate new Resident move-in and Resident move-outs.
- Ensure resident compliance with Emmerton House policies and procedures.
- Investigate and document resident complaints, disturbances and violations of the Society’s rules and regulations, resolving whenever possible without escalation.
- Communicate regularly to Residence Chair, President & Board as issues arise, while also providing monthly written status reports of activity to the Resident Committee and the Board.
- Coordinate and participate in the annual Review of the Residents with the Residence Committee Chair.
- Identify residents' needs and assist in resident development.
- Facilitate residents in developing their personal five-year plan and meet with residents to discuss progress quarterly. Ensure each resident’s plan is updated post-review and maintain documentation of initial and updated plans in “Resident Plans” document.
- Coordinate and perform yearly Fire Drills, Resident Room inspections and any other inspections necessary for maintaining a safe residence.
- Maintain Resident files with all pertinent documentation from resident application, incident reports and any other information collected during resident stay.
- Interact with residents to establish relationships of trust.
- Establish an “open-door” policy with residents.
- Negotiate & mediate conflicts between residents as they arise in a mature, thoughtful and sensitive manner.
- Maintain procedures manual for all processes concerning residents.
FACILITY MANAGEMENT
- Schedule, manage and inspect housekeeping and contractors work at Emmerton House.
- Maintain inventory and order all supplies needed for the house.
- Responsible for ensuring Emmerton House is compliant with local and state housing regulations.
- Plan, coordinate and manage maintenance & repair projects at Emmerton House.
- Confirm all invoices from vendors for work performed have been completed and submitted based on current procedures.
- Maintain an up-to-date procedures manual for all processes at Emmerton House
- Ensure all communal area spaces are kept looking their best.
- Respond to maintenance requests & issues in a timely manner.
ADMINISTRATIVE RESPONSIBILITIES
- Attend all monthly Residence Committee meetings and present reports.
- Contribute to the revision of WFS policies and procedures to ensure the Society’s standards are being met.
- Assist with the preparation of any reports and proposals as directed by the Resident Chair or President.
- Support the Treasurer in the maintenance of timely and accurate financial statements by recording expenditures and cash receipt transactions in QuickBooks, partnering with the accounting firm to provide information/resolve issues as requested, and contributing to the development and maintenance of Society financial process documentation
- Prepare and send a Monthly Resident Newsletter.
SALARY RANGE
Total compensation for this position is competitive and commensurate with a candidate’s experience and fit.

QUALIFICATIONS
- Residential housing management or housing social services experience preferred.
- Special preference given to those currently on a Social Work degree track.
- Excellent computer skills including Microsoft Office or Google Suite
- Have strong written and verbal communication skills.
- Have strong organizational and record keeping skills.
- Have the ability to manage multiple tasks efficiently.
- Have experience and competence in working with diverse populations.
- Strong customer service mindset.
- Strong initiative and willing to lead.
The successful candidate will be an energetic, optimistic person used to multi-tasking and prioritization who is a quick learner, has an empathetic ear and a confident demeanor. A background check will be required for this position.
