Job Description

Position Overview

Philanthropy Massachusetts is seeking a Programs and Services Associate to join the staff. This new position will be tasked with supporting the programs and services for foundation, grantmaking and other philanthropic organizations and nonprofit organizations. In addition, this new position will provide administrative support as defined in the job responsibilities. This position reports to the Senior Director of Programs and will work closely with other members of the Philanthropy Massachusetts staff where appropriate.

Job Responsibilities

Funder & Nonprofit Programs and Services:

  • Serve as first line of contact for inquiries/issues related to user account, membership benefits, event registrations, access to resources (Funder & Nonprofit) 
  • Respond, distribute, and follow-up on inquiries related to the Nonprofit Partner Program
  • Provide outreach to new members and partners that includes orienting members’ new staff/trustees with accounts
  • Coordinate Nonprofit Resource Center activities, including:
    • Primary contact for appointments (both database appointments and tutorials)
    • Activation of FDO appointment permission and troubleshooting access
    • Assisting with database account setup & activation
    • Supporting online tutorials when needed
    • Adding to RFP database
    • Providing access to and capturing payment for past program recordings & materials
  • Update member accounts where needed (funder & nonprofit):
    • Add new users
    • Update contact information
    • Fields of interest (funding-wise), network interest
  • Post on Philanthropy Massachusetts' Job Directory
  • Provide data entry services for Customer Relationship Management system
    • Funders renewals and new members; general additions; Nonprofits
  • Support Funder programs and occasional Nonprofit programs on internal and external event logistics including:
    • Scheduling (including communication with presenters/planners)
    • Zoom operations
    • Program event page listings
    • Registration (tracking payments when needed)
    • Program reminders with logistics included & support materials
    • Follow-up message with materials
    • if in-person, venue coordination, catering needs, volunteer coordination
  • Participate in bi-weekly Program Team meetings
  • Oversee new contact & new organization approvals in CRM, job and RFP postings

Administrative:

  • Assist CEO with coordination of board communications and meetings:
    • send email reminders for board & executive committee meetings;
    • attend and record board meetings; scribe minutes
    • track attendance; track conflict of interest forms
  • Issue Thank you and Acknowledgement Letters as noted
    • Membership acknowledgement letters)
    • Grants acknowledgement letters as assigned by CEO
    • Donations acknowledgment letters for annual fund campaign
    • Fiscal sponsorship donor acknowledgment letters
  • Other tasks as assigned

Qualifications

  • Bachelor’s Degree preferred 
  • Knowledge of and experience in the nonprofit sector or philanthropy is a plus
  • Strong interpersonal, written, and oral communication skills, and ability to represent Philanthropy MA often as first point of contact or primary contact for events and services
  • Experience and ease of comfort working with a customer relationship management (CRM) database and in a Microsoft Office environment strongly preferred
  • Strong event planning and project management skills
  • Strong organizational, analytical and time management skills
  • Excellent attention to detail
  • Ability to manage several tasks and projects at once with excellent follow-through and ability to perform a substantial number of tasks independently
  • Ability to work collaboratively, foster team spirit, approach work with an equity lens and humility, and maintain a sense of humor

EXPECTATIONS & COMPENSATION


The Programs and Services Associate is full-time at 40 hours per week, Monday to Friday 9:00am-5:00pm. Philanthropy MA is currently operating in a hybrid work environment that includes a combination of in-person and remote work. When we operate programs in person, some programs and events may require early arrival or late departure for coverage. Annual Salary is expected to be between $45,000 and $48,000. Benefits include health, dental and vision insurance options, group life, short- and long-term disability, a 401k retirement plan, and generous holiday/vacation package.  Philanthropy Massachusetts’ office is located at 133 Federal Street, in the Financial District, near South Station and Downtown Crossing, with access to multiple options for public transportation, dining, shopping and cultural attractions.
