Job Description

Cambridge Insight Meditation Center (CIMC) is an urban teaching center for the practice of Insight Meditation, located in Cambridge, MA. We offer a robust schedule of evening and weekend day-long programs and drop-in classes. CIMC seeks a highly organized, tech savvy coordinator to become an integral part of our small, dynamic office team. 
 
The Program Coordinator works closely with the Program & Volunteer Coordinator and Virtual Program Assistants (VPAs) to ensure that programs – retreats, workshops, practice groups, drop-ins, benefits, and community events – run smoothly and successfully. They are responsible for online, hybrid and in-person program logistics. This position reports to the Director of Operations (DO). 
 
This is a full-time in-person position with 1 remote day per week. Due to the nature of our program schedule, some evening and weekend hours will be required. 
 
Core Responsibilities

Ensure that the CIMC’s online, hybrid and in-person Dharma programs run smoothly and successfully (currently approximately 70 registration programs and 300 drop-in programs per year). It involves working closely with the Program & Volunteer Coordinator, collaborating with staff, Teachers, and Community Group leaders, and providing responsive planning and program support. 

Responsibilities include:
o   Develop a detailed implementation plan for each program.
o   Serve as programmatic point of contact for teachers.
o   Facilitate the weekly program staff meeting.
o   Ensure consistent practices and procedures across program support. Stay current with Zoom updates and adapt our practices as needed.
o   Communicate with teachers about program logistics.
o   Coordinate the schedule for Affinity Group Leaders.
o   Ongoing assessment of program practices & procedures to ensure accessibility, efficiency, and effectiveness.  
o   Responsibility for reviewing our online program catalog & calendar; craft and/or review all additions and changes.
o   Manage, support, and serve as back up to the Virtual Program Assistants.
 
Shared responsibilities
o   Communicate with program participants.
o   Cultivate a welcoming environment for program participants both online and at the Center.
o   Shared responsibility to staff phones & email and other key program support elements at start of programs. This can include 30-60 mins of work in-person or online, an average of two weekend days per month and occasional evenings. 
 
Data & Quality Assurance
o   Develop systems to measure and monitor logistics to identify where we are improving and adjust where needed.   
o   Extract and analyze program data, generate reports to inform program planning and budgeting.
o   Make informed recommendations to the Director of Operations & Executive Director (ED).
 
Additional Responsibilities
●       Share responsibility for answering general calls and emails, including inquiries about programs, volunteering, scholarships, and memberships. 
●       Copyedit and proof program documents, emails, newsletter, and marketing materials as needed.
●       Serve as the staff liaison on committees or working groups as required.
●       Provide general support as needed to ensure the successful overall running of the Center.
●       Please note:
         o    Given the size of our small team, all roles are cross-trained and provide coverage for each other when needed. 
         o   This role is heavily involved in working to support Teachers but is not a teaching role or a program design position.
 
Qualifications:
●       Minimum four (4) years of comparable experience in virtual and in-person program and/or event logistics, implementation, and monitoring.
●       Extremely well-organized, detail-oriented, and a proactive problem-solver; ability to pivot quickly in response to program changes. 
●       Proven track record of building, leveraging, and maintaining systems to manage logistics and communications. 
●       Excellent technical skills, a working knowledge of managing Zoom for virtual classes or programs, and familiarity with AV equipment.
●       A minimum of 2 years demonstrable experience using Salesforce, WordPress, Airtable, GSuite, MS Office, Constant Contact and/or similar systems.
●       Effective, clear communicator (written and verbal). 
●       Strong interpersonal skills and sincere interest in building relationships with CIMC community, staff, and teachers.
●       Skilled in balancing detailed administrative work with big-picture programmatic responsibilities.
●       A reliable team player who also enjoys working independently.
●       High degree of personal integrity and discretion; commitment to maintaining confidentiality.

This is a full-time position offering benefits including 100% employer-paid health and dental insurance coverage, 3 weeks paid vacation, 1 week of paid retreat/personal renewal, 13 paid holidays, and no-cost registration for all CIMC programs. CIMC’s standard work week is 37.5 hours. The hourly rate range for this position is $30-$35.00.
