The Payroll Processing Administrator is responsible for the accurate and timely processing of payroll for all employees in compliance with federal, state, and local regulations. This role ensures payroll data integrity, maintains employee payroll records, resolves payroll-related issues, and supports audits and reporting requirements. The position requires strong attention to detail, confidentiality, and collaboration with HR and Finance teams.

Key Responsibilities

Payroll Processing
  • Process regular and off-cycle payrolls (weekly, biweekly, or semi-monthly) accurately and on time
  • Review and validate timekeeping data, pay rates, deductions, and adjustments prior to payroll submission
  • Calculate wages, overtime, bonuses, stipends, retroactive pay, and other earnings as applicable
  • Ensure proper withholding and remittance of payroll taxes, garnishments, and benefit deductions

Compliance & Controls
  • Ensure compliance with federal, state, and local wage and hour laws and payroll regulations
  • Maintain accurate records for payroll taxes, filings, and year-end reporting (e.g., W-2s)
  • Support internal and external audits by providing payroll documentation and reconciliations
  • Maintain confidentiality of payroll and employee information at all times'

Payroll Administration
  • Maintain and update employee payroll records, including new hires, terminations, pay changes, and deductions
  • Coordinate with HR on benefits enrollment, changes, and deductions impacting payroll
  • Respond to employee inquiries regarding pay, deductions, taxes, and payroll discrepancies
  • Reconcile payroll registers to the general ledger and assist with monthly and year-end close processes

Systems & Reporting
  • Maintain payroll system data and ensure accuracy across integrated systems (HRIS, timekeeping, benefits)
  • Generate payroll reports for management, Finance, and HR as needed
  • Identify opportunities for process improvements and increased efficiency in payroll operations
Qualifications

Required
  • Associate's Degree in Accounting, Finance, Business Administration, or related field (or equivalent experience)
  • 2–4 years of hands-on payroll processing experience
  • Strong knowledge of payroll regulations, tax withholdings, and wage and hour laws
  • High level of accuracy and attention to detail
  • Proficiency with payroll systems and Microsoft Excel
  • Ability to handle sensitive information with discretion and professionalism

Preferred
  • Bachelor's Degree in Accounting, Finance, or related field
  • Experience with payroll software such as ADP, Paychex, Paylocity, UKG, GUSTO, or similar systems
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC)
  • Experience working in a multi-state payroll environment
  • Familiarity with accounting systems and general ledger reconciliations

Work Environment
  • Primarily office-based; hybrid work schedule may be available after probationary period
  • May require additional hours during payroll cycles, month-end, or year-end processing
Compensation

The salary range for this position is $70,000 - $85,000, depending on experience. This position is eligible for full benefits.
