ABOUT THE ORGANIZATION:
Founded in 2023, Mass Learning Project is a fiscally sponsored project of Community Initiatives that is working with the 330+ Massachusetts schools implementing Project Lead The Way (PLTW) programs to ensure that teachers and school leaders have the support they need to deliver classroom experiences of exceptional quality. Mass Learning Project aspires to make PLTW teachers the best supported teachers in the state with the hunger and opportunity to continuously improve the applied learning experiences they offer to students. Mass Learning Project offers robust supports to schools and educators, including grant funding in partnership with the One8 Foundation, implementation guidance, professional learning opportunities, and on-the-ground support.
ABOUT THE POSITION:
The Operations Manager for Mass Learning Project will provide administrative, and operations support to the Mass Learning Project team to maximize our impact for students and schools. Conscientious, organized, and capable of communicating with senior education leaders, the Operations Manager will provide executive administration support to the Executive Director. This position will maintain data management and operations processes that make our work more effective and efficient and support high-quality programming for students and schools via Mass Learning Project events and communications. The Operations Manager will work primarily from a home office, some travel for events and meetings will be required. They will report to the Executive Director of Mass Learning Project.
Specific responsibilities include but are not limited to:
Supporting Mass Learning Project Finance and Systems Operations:
- Coordinating the processing of the monthly Mass Learning Project staff expense reports ensuring accurate coding, account reconciliation and adherence to Community Initiatives expense policy.
- Managing and tracking Mass Learning Project’s contracts, subscriptions, and invoices including contract execution, maintenance of W9 forms, and payment schedules.
- Establishing and maintaining record-keeping and reporting systems to ensure that all contracts, vendor payments and team expenses are up-to-date and systems are accurate and reconciled.
- Working with vendors to ensure seamless execution of Mass Learning Project operations, monitoring all contracts and ensuring on-time delivery of goods and services.
- Assisting the team in keeping the Mass Learning Project supply storage stocked, organized, and clean.
Supporting the Mass Learning Project team and Executive Director:
- Managing changes in schedules and priorities quickly and adeptly, and proactively identifying and resolving scheduling conflicts.
- Assisting with the preparation and/or review of decks and other materials for meetings.
- Making recommendations to improve the organization’s systems and structures overall.
- Managing special projects for the Executive Director on an as-needed basis.
Supporting Mass Learning Project events and initiatives:
- Leading the execution of program communication that builds awareness, interest, and participation of K-12 leaders and educators, which includes developing send lists, setting up email templates, and maintaining a calendar of organization outreach.
- Assisting with preparation, registration tracking, setup and implementation of Mass Learning Project teacher trainings and events, including prepping and printing materials, purchasing supplies, arranging the transportation of materials to on-site locations, managing registration lists, and other tasks as needed.
- Designing systems for gathering and analyzing student and teacher feedback and using feedback from events and programming (e.g., training, showcases) to refine programming.
- Assisting team in updating to Mass Learning Project’s website in WordPress and formatting marketing communications.
CANDIDATE REQUIREMENTS:
The ideal candidate will possess the following qualifications:
- 2 years of professional experience, teaching, event planning, or finance background preferred.
- Experience working in or with schools/districts and/or administrative support.
- Experience managing budget systems and processes and working with vendors and contractors.
- Experience with event planning and coordination.
- Effective verbal and written communication skills
- Anticipates needs and implements process and system improvements proactively.
- Constantly reflects, relishes feedback, and seeks opportunities to grow and improve.
- Is passionate about Mass Learning Project’s mission and believes education is a primary means to dramatically improve the life outcomes of children, and all children can achieve at high levels independent of their circumstances.
- Experience with WordPress, Excel, and Mailchimp is strongly preferred.
- Bachelor’s degree (required).

COMPENSATION AND BENEFITS:
Mass Learning Project is a fiscally sponsored project of Community Initiatives and offers a competitive benefits package along with a commitment to your individual growth and development. Target salary for this position is $75,000 to $90,000, commensurate with experience.
