Role Summary:
We have an exciting opportunity for an experienced Operations Coordinator to join our team. The ideal candidate is a problem-solver, highly organized and detail-oriented, and a team player. The Operations Coordinator supports the Director of Operations in executing S&PAA's day-to-day operations. It is the Coordinator's responsibility to streamline internal processes, manage administrative and logistical tasks, and ensure effective coordination across stakeholders. This position is fully remote and will report directly to the Director of Operations.



 
Principal Functional Responsibilities:
Operational/Program Coordination: Support the implementation and maintenance of internal systems, workflows, and standard operating procedures. Monitor operational timelines, action items, and ensure coordination on projects and routine processes. Assist with vendor management expense tacking and contracts. Help coordinate logistics for programs, events, and special projects.



Administrative Support: Provide high-level administrative support including scheduling meetings, and preparing meeting material. Draft and edit internal documents, communications, and presentations.



Data and Systems Management: Maintain organizational records and databases. Support the upkeep and documentation of CRM tools and the shared drive to ensure organizational efficiency and data accuracy. Assist in collecting and organizing data for internal reporting and performance metrics. Perform gift entry for donor transaction records.



Financial Operations: Manage accounts payable processes, including submitting and coding expenses in systems in Ramp. Ensure expenditures are properly documented and supported in accordance with organizational and accounting policies. Ensure timely vendor invoice submission and accurate recording of operational expenses. Assist with internal purchasing.



Perform other duties as assigned.



 
Qualifications:



  • Education: Bachelor's Degree in relevant field (business administration, nonprofit management, accounting).
  • Experience: Two or more years of experience in nonprofit operations, administration, project coordination, or similar roles.

Physical Requirements:
Must be able to utilize a phone, computer and screen and other office equipment. While performing the duties of the job, the employee is frequently required to sit; talk; or hear and occasionally stand, walk, reach, stoop, or kneel. Must be able to occasionally lift up to 25 pounds.
