Position Description: The Environmental League of Massachusetts (ELM) and the ELM Action Fund (ELM AF) advocate for policy and build political power in Massachusetts that meet the scale and urgency of our environmental challenges. We are recruiting an Operations Coordinator to support both organizations. The Operations Coordinator will be an integral member of a collegial and effective 23-person advocacy team. Responsibilities:
Office Management and Personnel Support
- Keep office fully stocked and in good working order for all ELM employees and subtenants
- Assist in onboarding new fellows and employees
- Manage relationships with building and sub-tenants
Organization-wide Administrative Support
- Manage general office phone lines and email accounts
- Manage calendar of internal events for ELM staff and coalition meetings
- Maintain ELM staff, Board, and Corporate Council listservs
- Support operations and IT
- Assist Finance Director with financial data entry and vendor selection as needed
- Assist Senior Data Systems Manager with IT needs, vendor selection and ongoing management of the relationship with IT providers
- Enter gift, grant, dues and sponsorship data and transactions in Salesforce under the direction of the Senior Data Systems Manager
- Prepare and send acknowledgement letters for all monetary donations made to ELM and the ELM Action Fund
Board of Directors Management
- Coordinate Boards of Directors and Advisory Council meetings including scheduling, logistics, and meeting minutes
- Assist Board Committee staff liaisons with any administrative or logistical needs
- Keep all board information up-to-date
Event Support
- Assist with event planning, invitations, and day-of implementation as needed when directed by the Events Manager
- Support year-long planning for Earth Night, including organizing registration, guest list, supplies, and decor
Qualifications:
- Self-motivated, collaborative, and detail-oriented
- Superior technology skills, particularly the full MS Office suite and virtual meeting platforms, and motivation to find new ways of utilizing digital tools to increase efficiency and transparency
- Excellent professional written and verbal communication skills
- Confidence engaging with internal and external stakeholders of all levels of seniority
- Impeccable judgement
- Commitment to integrating racial justice and equity into ELM’s work and to ensuring an inclusive organizational culture
- Familiarity with Salesforce or another CRM system is a plus
