Job Description
The Boston Consortium for Higher Education (TBC) is seeking a full-time Office Coordinator. Under the general direction of the Executive Director, the Office Coordinator will undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that office operations run smoothly and are successful in supporting other business activities. The ideal candidate will be an organized and competent professional with phenomenal communication skills, be comfortable dealing with people, and able to carry out administrative duties with accuracy and speed.
Responsibilities
- Manages and supports Executive Director's schedule, meetings, and calendars
- Assists Executive Director and Director of Programs on projects as required including supporting numerous Communities of Practice
- Assists with scheduling and managing details of Board of Director's, Communities of Practice, and other meetings
- Welcome visitors and manages reception
- Responsible for managing office services and ensuring office operations and procedures are organized. Creates and organizes office operations and procedures including; mailing, shipping, supplies, and errands
- Provides program and event assistance. Coordinates activities for busy conference room, including catering and providing general support to visitors
- Assists with IT support including; creating PowerPoint slides, managing Listservs, coordinating Zoom meetings, Website maintenance and Dropbox management
- Assists with light bookkeeping
- Manages relationships with vendors, service providers and landlord
- Participates actively in the planning and execution of company events
- Other duties as assigned.
Requirements
- Associate's/College degree; BS/BA in business administration or relevant field is a plus
- At least 2-3 years office administrative experience required
- Willingness to be in the office most days post-COVID (remote work is occasional)
- IT skills; Working knowledge of MS Office, Survey Monkey, Mailchimp, WordPress, Zoom, Google Suite, Dropbox
- Working knowledge of accounting, data and administrative management practices and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
