Job Description
Finance and Operations Assistant
Grounds for Health is an international health care non-profit with staff working remotely from locations in the United States, Ethiopia and Kenya. This is a remote position, working 16 hours per week. The candidate should be located between Springfield, MA and Brattleboro, VT in order to meet in-person biweekly or as needed with the Executive Director (located in Ashfield, MA).
The Finance and Operations Assistant will contribute to the day-to-day administration requirements of running an international non-profit. The ideal candidate will be detail-oriented, thorough, a problem-solver, and someone who looks for ways to streamline systems and make their workplaces more efficient and successful. This person will work closely with the Executive Director and with the Bookkeeper, as well as other staff.
Responsibilities Include:
Financial Support
- Pay bills and provide financial documentation (receipts, copies of checks, monthly expense reports) for Bookkeeper to enter into Quickbooks.
- Prepare wire requests to international bank accounts for payroll and program expenses.
- Create and monitor financial statements in Quickbooks and review regularly with the Executive Director and Bookkeeper.
- Track grant income, expense allocations, and restricted funding balances.
- Track bank accounts and ensure sufficient funds across accounts.
- Update cash flow spreadsheet for monthly financial tracking.
- Prepare or provide information for financial reporting such as the annual audit, Form 990, SAM renewal.
Legal and Regulatory Support
- Provide documentation needed to comply with international NGO registration requirements.
- Liaise with in-country lawyers and accountants.
- Ensure compliance with 401K reporting regulations.
- Supply information required for annual charitable solicitation registrations to consultant and document process.
Human Resource Support
- Maintain employee files including hiring documentation, CTO tracking and annual contracts.
- Maintain retirement, medical and dental benefit accounts, plan renewals, and eligibility. Complete allocations spreadsheets.
Development & Communications
- Facilitate logistics for trade shows and other events including registration, travel, furniture rental, signage.
- Enter checks and provide accurate documentation for the development database.
- Support administrative processes for the annual coffee auction.
- Update annual appeal mailing list with accurate contact information.
Other
- Manage domestic and international vendor relationships including the import process.
- Provide logistical planning for annual Board retreat.
Qualifications
- Associate’s Degree or equivalent work experience. 2+ years of experience in administration and finance.
- Advanced Microsoft Office skills. Familiarity with Quickbooks preferred.
- Strong organizational and problem-solving skills.
- Strong written and verbal communication abilities.
- Independent and motivated to develop and execute exceptional operations and finance systems.
