We seek an individual with a commitment to sexual and reproductive health, rights, and justice to fill a key role in the financial and administrative structure of the organization. The Finance and Administration Coordinator will manage the accounts payable process, post financial transactions in financial software and spreadsheets, support grant reporting, and assist with the management of payroll and benefits. The Coordinator will maintain contract, vendor, and financial files. The person in this role will manage the US IT system, with support from an outside consultant, including acting as the system administrator and providing informal training and troubleshooting to staff members in all offices. The Coordinator will assist with research and implementation of new organizational IT systems. The individual will oversee the day-to-day operations of the Cambridge office, including maintaining relationships with building management and vendors, and maintaining equipment and supplies.

The Finance and Administration Coordinator will respond to phone and other inquiries, directing partners and the public to the appropriate person or information source. The person in this role will support organizational meetings including planning travel, assist hiring teams, and provide administrative support to senior staff as needed. 

The Finance and Administration Coordinator will work closely with the Finance and Administration Manager in Cambridge and report to the Director of Finance and Administration. 

Ibis is currently piloting a model of hybrid-work where all staff (excluding permanent remote staff) will work in-person from their local Ibis office at least two days/week. This position will be physically based out of the Cambridge office, with the expectation of at least two days of in-office time per week.  This role is not eligible for fully remote work. 
 
 
Qualifications
Minimum: 
  • Experience in an administrative role
  • Experience in supporting computer users and systems; ability to expand IT skills
  • Proficiency with Excel and experience in managing spreadsheets
  • Communication skills, responsiveness and flexibility, ability to work across teams 
  • Excellent software skills (e.g. MS Outlook, Word, Excel, and PowerPoint) 
  • Demonstrated ability to manage multiple responsibilities 
  • Ability to work independently and exercise judgment
  • Detail oriented with attention to accuracy
  • Self-starter, highly organized, hardworking, able to meet deadlines

Salary: The starting salary for this position is $54,000.
