Job Description

Since 1983, Hospitality Homes (www.hosp.org) has provided free short-term housing in volunteer host homes and donated apartments for families traveling to Boston for medical care. The Family Services Coordinator is key role at the heart of our mission and is a rewarding and exciting position with a great team. The Family Services Coordinator is responsible for the guest/host housing services, data input and tracking and also provides support for development, communications, and outreach as needed. This is a meaningful, direct-service opportunity for a mission-focused organization, serving close to 1000 families each year. The position is ideal for someone who thrives in a fast-paced environment, enjoys working closely with clients and co-workers and has excellent organizational and communication skills as well as empathy and compassion.
The Family Services Coordinator reports to and works daily with the VP of Operations and Program, and is a full-time, salaried position with excellent benefits, including paid time off, health insurance and a matching 401k program. Office hours are typically Monday through Friday, 9:00am to 5:00pm. Occasional night and weekend hours are required for evening meetings, weekend events, and occasional after-hours support. The office is located near St. Mary’s Street in Brookline, MA. A valid driver’s license is required.
RESPONSIBILITIES
Family Services Coordination:
· Provide quality client service to prospective guest families traveling to Boston
· Provide information about the Hospitality Homes program by fielding inquiries and responding appropriately
· Process guest applications and perform reference checks via phone
· Conduct background checks
· Match guests with appropriate host families
· If necessary, make referrals to other housing options
· Ensure clarity and consistency in communication and enforcement of policies
· Maintain Hospital relationships and communication with Social Workers, Patient Navigators and Liaisons.
Host Volunteer Coordination:
· Coordinate placement of families in volunteered, hosted homes in Boston area
· Attend home visits with VP of Operations to prospective volunteer host homes and present on Hospitality Homes program, protocols and requirements
· Maintain ongoing contact with volunteer hosts regarding availability
· Check in with volunteer hosts at the beginning and throughout a placement and resolve any issues that may arise in a timely and professional manner
· Provide emergency support to hosts as needed (rare)
· Collaborate with the VP of Operations to explore new ideas for host recruitment, building community and support for volunteer hosts, and other volunteer related projects (e.g. PGK, Adopt-a-family etc.)
Database Management:
· Update guest information in the Wired Contact database as needed
· Update host contact information based on hosting status for tailored communications
· Maintain written policies and procedures for the application and placement process.
Property/Apartment Management:
· Coordinate and perform check-in/check-out at HH managed apartments
· Maintain regular communication with Apartment Manager to coordinate the set-up of apartments in between guests and to ensure apartments are kept in good condition and fully stocked
· Coordinate Cleaning Schedule
· Ongoing communication with Apartment Leasing Offices for check in/check out and any needed repairs
Experience and Skills
· Bachelor’s degree required, or equivalent work experience
· 1-3 years professional experience
· Comfortable working with families experiencing emotional and financial stress
· Excellent interpersonal and listening skills; expert at customer relations
· Superb people skills, organization, and communication skills
· Proven ability to work independently on multiple tasks and juggle multiple deadlines with frequent interruptions
· Stellar attention to detail
· Team player who can work effectively and cooperatively with a wide range of individuals in a small office/team environment
· Experience in program management, health care, social services, volunteer management, and/or non-profit preferred
· Strong writing and editing skills
· Strong computer skills in Microsoft Word, Excel, PowerPoint, Access (or other databases), and Gmail.
· The ideal candidate will be flexible, have a “roll-up-your-sleeves” work ethic and a passion for mission-based work in the Boston area that serves a diverse population coming to the area from throughout the US and the globe at a time of great need when seeking specialized medical care.
Growth Areas:
· Over time, take on majority of Database Management including overseeing collection, entry, reporting, and analysis of data on program statistics, serve as point person for program database training and troubleshooting, occasionally provide supervision of interns, and support staff
Additional Qualifications and Skills
· Bi-lingual skills are a plus, Spanish preferred.
· Experience in one or more of the following: Constant Contact, Donor Perfect, Prezzi, or Canva
