Job Description
Title: Donor Engagement Associate
Department: Philanthropy Group
Reports To: Senior Director, Philanthropy Group (Donor Relations)
FLSA Classification: Exempt FTE: 1
Supervises: none
Position Summary:
Focused on donor retention and stewardship of the Foundation’s donors with an emphasis on advisors to Donor Advised Funds, this position will organize and leverage opportunities for the department to proactively steward and engage donors. Often this is accomplished by planning donor outreach activities to better coincide with donor solicitations, organizing nonprofit learning sessions and donor dialogues in collaboration with the Program department, and researching and developing new philanthropic and investment models alongside the Senior Director. This position also plays a central role in helping to organize and leverage the Senior Director’s impact both internally and externally. We seek an organized, solutions-oriented, self-directed, and flexible person who will be a committed and contributing team player.
Essential Functions:
- Manages donor education and engagement activities, and participates in the development and coordination of programs in partnership with Events team;
- Collects and shares giving opportunities and nonprofit information to be easily shared across the Donor Development Services (DDS) department, utilizing the new Grants Management System (GMS) system;
- Coordinates monthly e-newsletter to the Boston Foundation (TBF) donor community;
- Strategically manages the Senior Director’s calendar, including scheduling of meetings and conference calls;
- Manages administration for special donor-focused projects and programmatic funds when needed;
- Serve as primary liaison to small portfolio of Donor Advised Fund holders and back-up relationships with Senior Director’s portfolio;
- Ensures timely and accurate communication on behalf of the Senior Director, including fulfilling internal and external requests for information;
- Coordinates, sometimes in conjunction with other staff, internal and external meetings, convenings, conferences and special events, and develops agendas and supporting materials, including presentations as necessary;
- Aides in implementation and roll-out of the new Grants Management System with an eye towards adapting the platform for affinity funds and other special donor-focused initiatives;
- Maintains prospect, donor and fund records in Salesforce database; ensures timely entry of activities;
- Works collaboratively with colleagues to implement and uphold data integrity protocols to ensure accurate reporting and inform departmental activities;
- Prepares and maintains the Donor Services team’s project files, attends meetings and prepares meeting notes as necessary; and
- Under the guidance of the Senior Director, works in collaboration with other departments on special projects.

Qualifications
Preparation, Knowledge, Previous Experience:
- College degree or equivalent experience; and
- At least 3 years of office-based administrative experience.

- Familiarity with and/or interest in the non-profit sector, development, and/or non-profit management;
- Excellent administrative, organizational and calendar management skills;
- Impeccable attention to detail and accuracy;

- Strong knowledge of Zoom and Microsoft Office products - especially Word, Excel, Outlook and Power Point;
- Excellent data management and reporting skills; database experience in Salesforce strongly preferred;
- A can-do and will-do attitude, i.e. no task is too high level nor too basic;
- Ability to work with evolving priorities and timelines;
- Ability to prioritize tasks and meet organizational deadlines;
- Commitment to contributing to an overall organizational culture of learning and wellbeing; and,
- Preference for an awareness, understanding, and connection to the Boston community.
Working Conditions & Physical Demands:
- Ability to work at workstation for long periods of time;
- Ability to work on site and remotely, as required;
- Ability to use a keyboard for extended periods of time; and
- Ability to lift and carry up to 25 pounds, occasionally.
