Director of Administration
Reports to: Executive Director
Supervises: Office Administrator/Receptionist
Status: Full time; Exempt
Organization Overview:
Family Nurturing Center of MA (FNC) provides family strengthening, parenting education, and early childhood development programming in historically marginalized neighborhoods throughout the City of Boston, and training for family service providers across the Commonwealth. FNC’s 60-person team represents the communities we serve; 30% of us are graduates of an FNC program. Our approach is rooted in racial and social justice, and we approach families with respect and nurturing joy.
Position Overview:
The Director of Administration leads all aspects of the organization’s financial, administrative, operational, and human resources strategy. The DoA is a member of FNC’s executive team and, along with the Director of Programs and Director of Development, works with the Executive Director to ensure the organization’s efficacy, efficiency, and sustainability. S/he supervises the Office Administrator/Receptionist and works in close partnership with an outsourced finance team. Principal Duties and Responsibilities:
Executive Leadership
· Provide strategic thought partnership for the Executive Director on matters related to finance, administration, operations, and human resources.
· Staff the Finance Committee of the Board of Directors; schedule and prepare reports and agendas for monthly meeting.
· Provide training and technical assistance for non-administrative staff to support the development of financial and non-profit administrative skills within FNC’s team.
Finance
· Oversee and manage annual preparation of a mission-driven budget, working in close collaboration with outsourced finance team.
· Lead annual audit preparation in collaboration with finance consultants.
· Prepare financial reports for private foundations as requested, working closely with FNC’s Development team.
Operations & Administration
· Manage execution of public grants and contract documents, ensuring appropriate systems are in place for invoicing and reporting.
· Maintain/renew insurance policies, and lead annual renewal processes.
· Act as point person for FNC’s outsourced IT services; develop recommendations for improvements to IT systems.
· Lead procurement and purchasing processes; strengthen and manage a gift card distribution system.
· Assume responsibility for facilities maintenance and security (including one building owned by the organization and 2+ rented office space); with support from the Office Administrator, manage vendors on-site.
Human Resources:
· Maintain up-to-date industry knowledge via regular research and training; consult with FNC’s Board, legal counsel, and/or outsourced HR consultant; leverage best practices to improve FNC systems.
· Act as point person for outsourced Human Resources consultant.
· Ensure all new hires receive a benefits orientation and administrative onboarding.
· Partner with the Executive Director to develop a more robust HR function within the origination, including an in-house position (to be supervised by the DoA).
· Process bi-weekly payroll.
Other duties as assigned.
Qualifications and Experience:
· A minimum of five years relevant professional experience; MBA, CPA, or other higher degree preferred
· Strong financial analysis skills; ability to make sense of complex financial data and translate it for a wide range of audiences
· Track-record of developing and executing operational systems, ideally within a nonprofit organization
· Strong familiarity and comfort with technology; ability to assess, learn, and lead the implementation of new digital systems
· Commitment to leveraging resources to best support FNC’s staff and clients
