Job Description

Development Assistant and Database Manager
Position Status: Full-Time, Exempt
Reports to: Director of Development

Position Description:
The Esplanade Association (EA) is seeking a talented fundraising services professional to provide high-quality database management, prospect research, and development coordination, including oversight of consistent data entry procedures, optimizing functionality, and ensuring quality control and best practices for donor management. The successful candidate will also be responsible for administrative and events-related support for senior leadership and for the forthcoming capital campaign.

The Esplanade Association is a 20-year-old non-profit dedicated to revitalizing, enhancing, programming, and maintaining the historic Charles River Esplanade in downtown Boston. The Esplanade is a 64-acre park revered for its natural & cultivated beauty, riverfront access, miles of populated running trails, and thoughtful programming. In the last few years, the Esplanade Association completed planning studies in pathway safety, tree succession, invasives management, and interpretive services while partnering to launch a new beer garden, producing dozens of high-quality events, and much more. Responsibilities:
Database Management
· Manage and maintain the donor database (DonorPerfect) including implementing and maintaining best practices for record keeping and management.
· Ensure the timely and accurate recording of confidential donor information, engage in periodic data clean-up, and support event and mailing data coordination as necessary.
· Lead gift and acknowledgement processes and processing in DonorPerfect for all gift revenue received Continually review processing and acknowledgement best practices to ensure efficient, timely, accurate and professional donor interaction.
· Work closely with the EA Bookkeeper and provide weekly, monthly, and annual accounting reports and assist in reconciliation coordination.

Campaign and Development Department Coordination
· Tracking and management of donor meetings, pledge and gift intentions, and provide support for reports and related materials, as needed, for various donor-related meetings.
· Provide necessary reports for Development Committee and Board meetings for the DOD and ED.
· Coordinate calendar for campaign-related solicitations, meetings and events.
· Frontline team member for questions, requests, and other in-person, phone and email development inquiries.

Research
· Manage iWave Prospect Software.
· Coordinate individual prospect research using iWave and related prospect research tools.
· Generate comprehensive individual research reports for DOD, ED and Directors as needed.

Additional Department Responsibilities
· Provide timely coordination/distribution of materials for various events, programs and the organization’s development communications., e.g., annual report, holiday cards, invitations, and donor event materials.
· Attend and provide administrative support for designated events as directed.
· Oversee process and coordination of mailings for specific events including coordination with printers and mail houses (when necessary).
· Prepare documents and/or materials for presentations, meetings, etc.
· Support meeting follow-up and tracking as necessary.
· Prepare, format and send letters and other correspondence as needed.
· Maintaining and organizing confidential donor-related paper and electronic files.
· Provide technical support in creating and maintaining accurate web-based forms and gift-related pages.
· Perform other duties as directed or as needed.

Qualifications:
· 3-5 years' experience in database management and/or demonstrated success in nonprofit organization(s).
· Experience with direct and electronic mail services helpful.
· Working knowledge of DonorPerfect fundraising database preferred.
· Must possess familiarity with fundraising principles.
· Must maintain a professional demeanor, and interact well with a diverse staff and varied constituencies including Board, donors, vendors, and other stakeholders.
· Must be organized, analytical, detailed-oriented and possess ability to multi-task.
· Must possess strong writing and editing skills.
· Bachelor’s or Associates degree preferred.
· Available for occasional weekend or evening events or meetings.
· A sense of humor, desire to be part of a dedicated team, and an interest in parks, the outdoors, and/or the environment is a plus,
· Will be required to complete an iCORI background check.

Logistics:
· Work hours are Monday through Friday, but occasional weekend days will be required.
· Flexibility is required to accommodate evening and weekend events and some holidays.
· Participate in signature organizational events and meetings, which may include but not be limited to staff, Board, volunteer, fundraising, and programming activities as assigned.
· Salary is commensurate with experience.
