Position:  Coordinator for Global Programs
Reports to:  Director of Staff Development and Regional Program Coordination
Status:  Full-time; Exempt
Location:  Brookline, MA
Start date:  Immediate
 
Position description: As a member of Facing History and Ourselves’ Program Operations/Administration team, this Program Coordinator provides administrative support and operational infrastructure for several key organization-wide program activities, including Professional Learning and Support, the Partner Schools Network  and Program Staff Development.  The Coordinator will employ and develop systems to efficiently manage information flow and establish and maintain clear lines of communication with other departments, regional offices, key external partners, and the organization as a whole in support of departmental objectives.

Who You Are: You have excellent organizational, communication, and management skills as well as good writing and editing skills.  You are detail oriented with a good understanding of budgets, databases, and general office related softwares (e.g., Google Suite, Microsoft Office).  You have a proven ability to create effective systems for managing multiple projects, and are flexible in your ability to manage multiple tasks under different managers and management styles.  You take initiative, are reliable, and enjoy being part of a larger team. You are a problem solver and adaptable.

You will work closely with the Program senior staff members  to coordinate their work with the various groups within headquarters, in the regions, and with external partners.  Amongst your responsibilities will be to manage their calendars, develop systems and process for greater efficiencies of labor for each of them, track and monitor budgets, coordinate many of the initiatives of senior staff, lead the support and organizational aspects of all staff development initiatives and retreats, manage virtual meetings  and staff trainings on zoom, and assist in planning and monitoring of regional program strategy through Facing History’s offices.
 
Responsibilities
  • Provide administrative, scheduling and logistical support and coordination for senior Program staff
Provide support and coordination of staff development projects including coordinating the Staff Development Team Retreats, New Program Associate Team Retreats, and the annual Program Retreat
  • Assist  senior staff  in the development and maintenance of processes and systems designed to maximize organizational effectiveness
  • Provide support and coordination to the Director of the Partner Schools Network, including helping manage communication with staff and educators in the network, organizing virtual events, and tracking key deliverables and metrics for the network
  • Coordination of the planning and monitoring of regional program strategy 
  • Work closely with various HQ departments (Marketing, Finance, Digital Infrastructure, Content Development) in coordinating organizational efforts on intra-group projects and programs
  • Assist in the development of annual budgets and then track monthly expenses against budgets 
  • Maintain appropriate database (Salesforce) information, develop reports  and assist in the analysis of those reports
  • Assist in the research, development, and formatting of reports and presentations for internal and external audiences
  • Additional responsibilities as assigned
     
Qualifications:
  • Minimum of 1-2 years of experience required in supporting and assisting large scale cross organizational  projects, non-profit setting preferred 
  • Experience with the Google platform preferred
  • Salesforce experience a plus
  • Bachelor’s degree (or equivalent experience) required
