Job Description

EdVestors advances equitable, meaningful education that prepares every Boston student to activate their power and shape their future. EdVestors is seeking a Coordinator, Finance and Operations to join its Finance and Operations team.

Reporting to the Vice President, Finance and Operations, the Coordinator will play a critical role in the efficient and effective management of EdVestors. The position provides experience in finance and operations, as well as a window into nonprofit management and the education sector, and supports EdVestors’ mission of ensuring Boston's students attain an equitable education.

Responsibilities:
Financial Support:
  • Support the financial work of the organization, including reviewing financial reports and supporting the annual budget and audit processes.
  • Process outgoing invoices, grants, partner payments, and credit card transactions.
  • Support weekly and monthly reconciliation, including Profit & Loss (P&L) detail review and bank statement review and distribution
  • Maintain open communication with our external bookkeeper and ensure that tasks provided to them are carried out accurately and efficiently.
  • Prepare financial documents for Governing Board meetings and other parties as needed, under the direction of the VP of Finance and Operations.
  • Communicate with vendors, partners, and individuals regarding payment status and processing questions.
  • Support cash management efforts and monitor bank account transactions.
  • Corporate email inbox monitoring for finance requests and invoice submissions.

Operations Support:
  • Act as a liaison between staff and EdVestors’ external IT provider to resolve technology issues in a timely manner.
  • Communicate with building management regarding maintenance and other office related concerns.
  • Manage supply and equipment procurement and maintenance with external vendors.
  • Serve as a point of contact for office visitors. Manage incoming phone calls and general email outreach to the organization.

Human Resources Support:
  • Coordinate processes for hiring new staff including posting job opportunities and tracking and supporting communication with candidates.
  • Support the onboarding of new staff members through activities including: workspace set up, orientation scheduling, maintenance of onboarding binder, and training in office procedures.
  • Support the VP, Finance & Operations with managing holidays and other non-recurring timesheet items in EdVestors payroll portal.
  • Assist with planning of staff team-building activities and wellbeing events.

Other:
  • Contribute to EdVestors’ internal equity work.
  • Undertake special projects as assigned.

Qualifications:
  • Bachelor’s degree and/or equivalent experience required.
  • 1 - 3 years of office experience, with preference for background in nonprofit organizations..
  • Outstanding organizational and project management skills, with a high level of attention to detail.
  • Strong track record of taking initiative, managing multiple priorities, and meeting deadlines.
  • Excellent written and verbal communication skills with the ability to give and receive feedback.
  • Strong computer skills with proficiency with the Microsoft Office Suite, especially Excel, Word, and Outlook. Medium to advanced Excel and Google Sheets skills preferred.
  • Experience with Salesforce a plus

  • Ability to work both independently and collaboratively as part of an entrepreneurial, mission-driven team, with a positive attitude and sense of humor.
  • Partner-oriented approach with both internal colleagues and external stakeholders.
  • Passion for education and an interest in EdVestors’ work.
  • Physical requirements: carrying and lifting 15-25lbs; ability to assist in room setup, which may include moving tables or chairs; and carrying/opening boxes and organizing physical program materials.

Compensation
The expected starting salary range for this position is $55,000 to $60,000 per year. EdVestors offers a comprehensive benefits package, including medical and dental insurance, life insurance and disability benefits, 401k plan contribution and match, professional development funds, and paid time off that includes three weeks of vacation, organization-wide recharge days, holidays, and sick time. This is a Boston-based role. EdVestors has adopted a hybrid work structure of at least two days (16 hours) per week in office and/or other in-person engagement. This role may require additional in-person presence pertaining to organizational events.
