Job Summary

The Associate Commonwealth Corps Program Manager is a full-time position that will provide overall operational and programmatic support to the Commonwealth Corps program and reports to the Commonwealth Corps Program Manager. This position is responsible for supporting the successful implementation of the program and assisting the Program Manager with the management of approximately 30 service members and 12-16 host site partners. Duties include program operations, member support, and communications, as detailed below.

Essential Functions

Program Operations
  • Act as the main point of contact for member administrative support; including managing member timesheets, payroll, and reimbursements, with support from MSA staff.
  • Oversee member recruitment and selection logistics, including updating materials and coordinating the interview process. 
  • Coordinate onboarding process with finance team, including supporting members with setting up accounts with Paychex and enrolling in benefits;
  • Manage logistics for member and host site events, including food and supplies, with support from MSA staff.
  • Gather and input data for program records and evaluation, including managing collection of member surveys (entrance survey, midyear survey, exit survey, and end of year program evaluation).
  • Update program materials annually, including offer letter templates, member handbook, and contracts.
  • Coordinate with the Program Manager on Host Site application and selection, including assisting with the community review and decision-making process.

Member Support
  • Develop a holistic approach to member support with a focus on members’ growth and impact through their service roles.
  • Expand the support structure for service members and conduct one-on-one check-in meetings with ~15 members (once every two months)
  • Support member supervision at their host sites, including the collection of member midyear and end of year performance evaluations and optional hour and commitment reviews. 
  • Manage member issues and conflicts at their sites, including implementing service improvement plans and coordinating exit paperwork.
  • Lead efforts to build a sense of community among corps members, such as planning  social events and communication between corps members.

Communications
  • Develop content ideas for program newsletters, social media, and other public facing materials to provide to MSA’s communications team.
  • Keep tabs on Commonwealth Corps’ social media platforms and website pages, coordinating content with MSA’s communications team. 
  • Gather and share photos and videos from members, alumni, and sites with communications team.
  • Develop materials for program events, including presentations for the celebration of service, program trainings and Host Site and Member orientation. 

Marginal Responsibilities 

  • Support host site partners with Program Manager, including conducting some monthly check-ins and partner site visits
  • Serve as a main point of contact for the program and respond to calls, emails, etc. for those interested in joining Commonwealth Corps.

Required Qualifications

  • Strong communication and organizational skills and attention to detail
  • Highly comfortable with Microsoft Office and Google Suite and learning new technology
  • Strong interpersonal skills and ability to build relationships (or rapport) quickly with a diverse group of individuals
  • Ability to balance competing priorities and succeed with the demands of a fast-paced, multi-faceted role
  • Minimum of 3-5 years of relevant experience, which could include work, internship, and activities in a collegiate setting (could include AmeriCorps or Commonwealth Corps service experience)
  • Strong written and interpersonal skills and experience partnering with diverse groups and individuals
  • Commitment to service and volunteerism with an interest in working with community-based nonprofit organizations and public entities
  • The ability and willingness to travel independently and frequently within Massachusetts.

Preferred Qualifications
  • Knowledge of or interest in learning data management and survey platforms such as Salesforce, Form Assembly, and Google Forms.
  • Bachelors’ degree preferred or equivalent work experience
  • Spanish language proficiency

Compensation, Benefits, and Applying

Compensation: Salary range is $61,800 - $73,000 annually and is commensurate with experience. Comprehensive benefit package including health and dental insurance and 401K with employer match. Professional development and training provided to support learning and continuous improvement.

Hybrid Work Policy: MSA has a 2 days in-office/3 days remote hybrid work policy with flexibility.
