TITLE: ASSISTANT DEPUTY DIRECTOR OF CASE MANAGEMENT AND RECRUITMENT

 

 

DIVISION/DEPARTMENT: OWD/YOUTH OPTIONS UNLIMITED

 

SUMMARY OF RESPONSIBILITIES:

Under the direction of the Deputy Director for Youth Options Unlimited Boston(YOU Boston), provide supervision to case managers ensuring the efficient, appropriate, and professional delivery of services to all designated youth, both in the community and in juvenile and adult facilities preparing for re-entry. Complete safety check on all referred young people and assign to case managers.  Maintain balanced caseloads and ensure that all required file documentation is completed and submitted according to deadlines for each assigned young person. Complete all data entry for new enrollees in YOU Boston database (ETO) and oversee the data responsibilities for all supervisees.  Maintain partnership and communication with all referrals sources to include the Department of Youth Services, offices of juvenile and adult probation, Boston Center for Youth and Families, Suffolk County House of Correction and all additional community partners. Oversee the progress of each young person to include the creation and content of each individual service plan by the young person's  YOU Boston service team. Serve as a member of the senior leadership team assisting with the management of the youth payroll system, grant reporting, and input/auditing of ETO database to insure compliance with all funding requirements. Assist with overall strategic planning for the agency and hiring and training of new staff.

 

GENERAL DUTIES AND RESPONSIBILITIES:

The general duties and responsibilities of the position are included in but not limited to the information listed below.

 

Directly supervise all case managers. Develop agenda and facilitate all weekly case management meetings; produce deliverables and deadlines for all case management staff.
Responsible for the recruitment of youth into YOU Boston, directly and through managed / non managed staff
Ensure youth enrichment programming occurs consistently at YOU Boston
Ensure that all case management staff are delivering services within the service team model and completing all individual services plans on a quarterly basis with assigned young people.
Serve as the point person with all community referral partners and law enforcement entities relevant to YOU Boston case management services, safety planning, other collaborations and initiatives insure that YOU Boston is properly represented at all weekly/monthly partner meetings as assigned.
Interface with other providers to include education, mental health, housing, childcare, training, employment, to build new referral relationships for clients under case managers’ purview.
 

Assign each YOU Boston participant to a funding stream upon confirmation of referral; ensure that all new participants are fully processed within 10 business days of referral to YOU Boston.
Monitor the amount of referrals taken in under each funding stream and the solicitation of referrals to maintain compliance with all grant expectations.
Oversee safety checks for all young people referred to the program on an on-going basis.
Enter all required data into the YOU Boston database (Efforts to Outcomes-ETO), perform internal audits of all staff under your supervision to maintain the integrity and completion of all ETO input mandates on a weekly basis. Ensure updates are completed by all case management staff.
Assist with the overall management of youth payroll system in collaboration with designated YOU Boston staff, to insure that all required documentation has been received and confirmed prior to a young person being placed on payroll.
Organize and lead regular meetings to include safety, case management, and case conferencing on young people. Attend partner meetings/events as designated by Deputy Director. Assist with the facilitation of full staff meetings as necessary.
Meet regularly with YOU Boston senior leadership  to productively collaborate and communicate concerning agency priorities, update protocol and procedure, development and "fine-tuning" of service delivery systems, consistent supervision of all staff, plan upcoming programming and events, establish professional development plan for staff, and assist in long-term strategic planning for the agency.
Participate in all hiring and training of all FTE and TES staff; create and oversee all training sessions of new case management hires to include training schedule and content; assist in maintaining a proper level of staffing of the YOU Boston TES program throughout the year.
Maintain a safe and productive learning/work environment for all youth and staff by promoting proper safety procedures throughout programming.
Assist with all reporting and funder mandates for all YOU Boston as necessary.
Conduct bi-weekly supervision with all assigned staff and complete all required BRA/EDIC evaluations in a timely fashion as mandated.
Present on behalf of YOU Boston to external partners, conferences, and events as necessary.
Perform other related duties as requested.
 

QUALIFICATIONS:

Work requires completion of a Bachelor’s and/or over 7-10 years of work related experience  in      social work, counseling or related field.  Requires experience working with ‘high-risk” or “at-risk”    youth population and experience in youth development, education and/or job development.  Excellent communication skills are needed.  Bilingual/Bicultural experience is highly desirable.  A valid Massachusetts State Driver’s license is required.  Must be able to work as part of a team and be willing to work on the street and in other unstructured situations.  Must be able to work weekend and/or evening schedules as required. Computer literacy/typing skills are required.

 

WORK ENVIRONMENT:

Normal office environment; occasional site visits.

 

PHYSICAL REQUIREMENTS:

Little or no exertion; occasional local travel.

 

SCOPE:

Supervise YOU Boston Case Managers up to 7 FTE’s
